Invoice software vs Excel in Germany
Spreadsheets start cheap — and often fail on numbering, e-invoices, and receipt chaos. Software pays off when volume, retainers, or structured invoices arrive.
Last reviewed: October 2026
When Excel / a template is enough
- Few invoices per month, simple B2C or known clients
- You deliberately own numbering and archiving
- No structured e-invoice requirement yet
Start with the invoice checklist — but plan the switch before mistakes get expensive.
When software is better
- Recurring invoices / many clients
- E-invoices (ZUGFeRD/XRechnung) and GoBD archive
- Receipts, expenses, and open invoices in one place
- Fewer copy-paste errors on VAT and addresses
Quick comparison
| Topic | Excel / template | Software |
|---|---|---|
| Cost | Low | Subscription / free tier |
| Numbering | Manual — error-prone | Automatic |
| E-invoice | Hard | Built-in / generator |
| Receipts & follow-up | Separate | In the workspace |
Who Effitrio is for — and not for
Fit: solo freelancers and small teams in Germany who need invoices, receipts, and e-invoices without an enterprise ERP.
Less fit: complex corporate processes, payroll, or cases that only a tax-advisor suite should cover.
General information only — not legal or tax advice. Tax and e-invoice rules can change; the applicable laws control (e.g. § 19 UStG, § 14 UStG). Confirm with a tax advisor or lawyer if unsure.
