When recurring invoices help
- Monthly retainers (advisory, support, content)
- Hosting / maintenance with a fixed fee
- Subscriptions with a clear service period
Put duration, notice period, and what the fee covers in the quote — or scope will creep.
Rules per period
- Each period = its own invoice with a new sequential number
- State the service period on the invoice (e.g. “March 2026”)
- Keep VAT / Kleinunternehmer wording consistent — document status changes
- For B2B: plan e-invoices when the mandate or the client requires them
- If unpaid: use a reminder / dunning flow
Setup checklist
- Clean client data and payment terms once.
- Template / schedule: amount, period, next invoice date.
- Quick review before send (price change, pause, cancellation).
- Send + archive (GoBD) each period.
Common mistakes
- Reusing the same PDF number every month
- Missing service period — client does not know what they paid for
- Ignoring cancellation and keeping billing
